1. Who is responsible for your data

ProSochi Pvt. Ltd. operates VectaMind and determines how personal data is processed for the service. Privacy questions, rights requests and grievances can be sent to support@prosochi.in.

2. Data we may process

• Account information such as name, email, role and profile image.
• Child profile information created by a parent or lawful guardian, including name, date of birth, profile image, diagnosis and related care information.
• Care-context information such as your relationship with the child, interaction details, focus areas and purpose for using the app.
• Journals, voice input, observations, food, sleep and other information you provide to build the child’s care history and understand patterns over time.
• Care-team information, invitations, roles, permissions and contributions.
• AI-generated summaries, scores, patterns, insights, recommendations and action-plan information derived from data submitted to VectaMind.
• Technical and security information reasonably required to operate and protect the service.

3. Why we process it

We process personal data to create and manage accounts, build the child’s care history, understand patterns over time, provide relevant contextual and AI-assisted insights, support collaboration among authorised care-team members, support action plans and progress tracking, and maintain the security and reliability of VectaMind.

4. Children’s data and parental consent

A child profile may be created only by a parent or lawful guardian. Before processing a child’s personal data, VectaMind will obtain verifiable consent of the parent or lawful guardian in the manner required by applicable law. We do not process children’s personal data in a manner likely to cause a detrimental effect on their well-being, and we do not use children’s personal data for targeted advertising. VectaMind’s care-context features are intended to help authorised users understand information voluntarily contributed for the child’s care; they are not intended for advertising-related tracking or behavioural monitoring.

5. Voice input and AI

Voice input may be converted to text for journaling and care-context purposes. Where speech processing is performed on-device, audio need not leave the device for transcription. If cloud-based AI or speech services are introduced or used, the relevant notice will identify the processing and purpose before consent is sought where required. AI outputs are intended to support, not replace, the judgement of parents, clinicians, therapists, teachers or other professionals.

6. Sharing and access control

Parents or lawful guardians control who can access the child’s information and what each care-team member can view, add, update or approve. Information contributed by a user may be visible to other authorised care-team members based on those permissions. The parent or lawful guardian can revoke access at any time. We may also use service providers acting on our behalf where necessary to operate the service, subject to appropriate contractual and security safeguards.

7. Retention and deletion

We retain personal data only for as long as it is needed for the purpose for which it was collected or as otherwise required by applicable law. Care-team members may leave a child’s care team or delete their account. Parents or lawful guardians may delete a child’s profile and associated data. When a care-team account is deleted, existing contributions may remain anonymised as part of the child’s care history, subject to applicable law and retention requirements.

8. Security

We use reasonable technical and organisational safeguards designed to protect personal data, including access controls and measures intended to prevent unauthorised access, disclosure, alteration or loss. No digital service can guarantee absolute security.

9. Your choices and rights

Subject to applicable law, you may request access to information about the personal data being processed, correction or completion of inaccurate or incomplete data, updating of personal data, erasure where applicable, and grievance redressal. Where processing is based on consent, you may withdraw that consent with comparable ease to giving it. Care-team members can do this by leaving a child’s care team or deleting their account. Parents or lawful guardians can also delete the child’s profile and data. Withdrawal does not affect processing already carried out lawfully before withdrawal.

11. Changes to this policy

We may update this policy as VectaMind evolves or legal requirements change. Material changes will be communicated through the app or website as appropriate.
